Administrative Assistant

Lexia Learning Systems, one of the nation’s most highly regarded educational software providers,  is seeking an organized individual to support the administrative, communication and organizational needs of the CEO and other senior managers in this newly created position. The ideal candidate will be detail-oriented, analytical, tech savvy, have a strong customer service orientation and work independently within a collaborative environment in our offices in Concord, MA.


Responsibilities

  • Support and administer outreach efforts on behalf of the CEO, coordinate with marketing to ensure positive external presence of the CEO.  Create and up-date social media representation of the CEO to reflect the appropriate educational and professional image of the company. Act as a liaison for CEO to educational industry organizations and events, coordinating involvement, attendance and presentations.
  • Schedule and handle all aspects of travel and meeting arrangements, multi-state and international; includes completion of associated expenses reporting, for select senior level managers. Coordinate CEO calendar and meeting setups (internal & external) via Outlook, as required.
  • Organize the internal information sharing system company-wide and specifically structure and organize the CEO information and electronic files. Prepare and maintain a library of CEO presentations, using Power Point, Word and Excel Microsoft tools, may include creation, editing, quality control, and finalization of documents.
  • In conjunction with CEO, Marketing and HR implement company-wide communication strategy, including regular company newsletter-type communication from CEO, communication of company performance metrics and preparation of routine responses to external, community and industry based correspondence.
  • Complete cross functional project assignments on deadlines and specifications.  Projects vary across departments and may include:
    • conduct research on a specified topic, collect and analyze data, track, monitor and report
    • prepare reports for consideration and presentation to management and/or BOD
    • maintain and document the company’s social responsibility elements such as charitable activities, community interactions, and environmental awareness
  • Exercise judgment and make decisions to promote smooth workflow in the team and to facilitate cross functional communication among the management team members and departments.
  • Consistently exhibit professionalism, confidentiality and diplomacy in all interactions with internal and external contacts.


Requirements

  • Three to five years of administrative experience.
  • In-depth knowledge of the administrative procedures and technology tools.
  • Strong working knowledge of Microsoft Office Tools, specifically Outlook, Word, Excel and PowerPoint and social media outlets such as LinkedIn, Twitter, Facebook.
  • Strong organizational and project tracking skills with attention to detail and proficiency with numbers.
  • Ability to work well under pressure, juggle and prioritize multiple projects and tasks and work efficiently against deadlines.  Adaptable and receptive to changes and new responsibilities.
  • Demonstrated problem solving and judgment capabilities.  Demonstrated initiative and ability to work independently.
  • Excellent oral and written communication skills . Excellent quality and proofreading skills.
